Full-time Administrative Assistant
40 hours a week; schedule is Monday to Friday 9am-5pm
Pay range $28.90- $31.00
Guelph-Wellington Women in Crisis (G-W WIC) is a diverse, inclusive, feminist community-based organization providing safety, advocacy, prevention, education, and support for women and gender-diverse people impacted by violence.
Primary purpose: To provide comprehensive administrative, operational, and human resources support to Marianne’s Place and the Shelter Manager, Shelter Supervisor, Crisis Line Manager and all agency programs as required.
Responsibilities include:
•Provide administrative support to the Shelter Program Manger, Supervisor and shelter program.
•Provide technical support and troubleshooting for IT, phone system, and office equipment
•Provide support with financial records and reports, including payroll, and petty cash.
•Provide HR and scheduling support, such as staff onboarding, shift coverage, and absenteeism.
•Prepare, update and maintain program related documents, filing system and meeting minutes.
•Compile, maintain and interpret statistical data and complete requisite reports.
•Maintain office equipment inventory and office supplies.
•Participate in supervision, compliance & professional developments
Requisite skills, abilities and qualifications:
•Diploma in Office or Business Administration, related field, or equivalent experience
•Minimum of two (2) years of administrative experience.
•Proficiency with Microsoft Office 365, email, internet applications, and database, such as Payworks.
•High ethical standard and demonstrated ability to maintain confidentiality.
•Exceptional organization skills with strong attention to detail and time management skills
•Competency using, maintain and troubleshooting office equipment, including basic IT issues
•Proficiency with data entry, minute taking, correspondence, and form development.
•Proficiency with preparation, editing and proofread of correspondence, invoices and reports.
•Strong mathematical and analytical skills.
•Proficiency with financial reconciliation, preparing statistical records and using Excel.
•Excellent judgement, decision-making abilities and problem-solving skills.
•Strong facilitation, presentation, interpersonal, communication and advocacy skills (verbal and written)
•Previous experience working in a management support role in a unionized environment
•Experience with mediation, crisis management, trauma informed care and conflict resolution.
•Demonstrated understanding of anti-racism, anti-oppression, and gender-based violence.
•Driver’s license and access to a reliable vehicle is an asset.
•Familiar with OHSA and Employment Standards legislation.
•Current Standard First Aid, CPR and satisfactory Vulnerable Sector Check.
