Based in Orillia, ON, Green Haven Shelter for Women provides 24-hour emergency shelter, crisis support and outreach services for self-identifying women, with or without dependents, who are experiencing violence and abuse. We are seeking applications from highly motivated individuals to fill the role of Administrative Office Assistant.
Opportunity:
The role of the Administrative Office Assistant provides administrative support to the Executive Director and other members of the leadership team. In addition to performing traditional administrative tasks such as customer service, word processing, minute taking, filing, and copying, etc, this individual will also provide support for HR and financial duties. The ideal candidate will be professional, highly motivated, and extremely organized for working in a fast-paced office setting.
Minimum Requirements:
• Administration diploma or certificate or equivalent is preferred.
• Previous administrative experience is required.
• Advanced computer skills in word processing, spreadsheet and database software.
• Experience in researching, data analysis and compiling information in a professional manner.
• Knowledge of basic bookkeeping procedures.
• Demonstrate ability to communicate effectively in English, verbal and written, in situations that may require tact, diplomacy and discretion.
• Must possess initiative, attention to detail, and the ability to organize and coordinate, with excellent interpersonal skills.
• Highly motivated and flexible with the ability to adapt quickly to new situations/challenges.
• Demonstrates appreciation and respect for protocols, professionalism and confidentiality. Demonstrates ability to work efficiently, independently and in a team work environment.
• Valid Ontario Driver’s License and access to personal vehicle
• Criminal Background Check and Vulnerable Sector screening required.
Duties and Responsibilities:
• Handling telephone calls, mail, emails and other correspondence.
• Review incoming communications and identify appropriate action required.
• Streamline issues directed to the attention of the Executive Director by taking ownership or directing to other members of leadership team as appropriate.
• Review all documents, reports and correspondence prepared for signature, for format, content, grammar, spelling and make edits as necessary.
• Maintenance of filing systems.
• Organize and maintain Executive Director’s schedule.
• Prepare bank deposits and process monetary donations received with support of the Fundraising team.
• Organize invoices in preparation for signature and processing.
• Assist with the administration of payroll and employee benefit program and communicate updates.
• Review invoices and identify discrepancies.
• Research and compile relevant information for reporting as needed.
• Assist with meeting agendas and minutes.
• Assist with the preparation of reports and compliance requirements.
• Other duties as required.
Physical Effort:
The majority of time is spent in an office environment.
Sensory Effort:
Requires visual attention and concentration (i.e. reading without interruption). Requires concentrated effort to participate in meetings and take minutes, write reports, and other follow up documentation.
Working Environment: The Administrative Office Assistant will typically work Monday to Friday in an office environment, but may require flexible working hours with occasional evening and weekend work. Local travel may be involved. Off-site work is pre-approved by the Executive Director and all hours are logged.

Hours: 30 hours per week
Wage: $27.00 per hour
This position includes a six (6) month probationary period. During this time, the incumbent’s performance will be reviewed to ensure a successful fit for the team and the organization’s culture and mission.
